Submission of Research Proposals
Overview of the Research Proposal
The Research Proposal represents the formal application submitted by a Fellow to participate in a Call for Application within the Transnational Access programme.
Through the Research Proposal, the Fellow describes the research project they intend to carry out at a hosting institution, providing all the information necessary for the scientific and organizational evaluation of the proposal.
Each Research Proposal is associated with a specific Call for Application and follows a well-defined lifecycle governed by statuses, roles, and permissions. It is visible exclusively to the Fellow who created it and to the actors involved in the evaluation and management process, according to their assigned role.
The Fellow has no visibility over applications submitted by other users.
Creation of the Research Proposal
The Fellow may create a new Research Proposal by selecting an active Call for Application within the platform.
During the creation phase, the Fellow is required to:
- complete the required fields related to the research project;
- provide the requested personal and academic information;
- indicate the hosting institution and relevant facilities, where applicable;
- provide a detailed description of research objectives and planned activities.
At the moment of creation, the Research Proposal is automatically saved in Draft status.
The Fellow may create a Research Proposal only for active and published Calls for Application.
Management of the Draft Status
The Draft status allows the Fellow to progressively work on the Research Proposal.
In this phase, the Fellow may:
- freely modify the proposal content;
- save entered information;
- complete the proposal at a later time;
- delete the proposal if they decide not to proceed with the application.
A Research Proposal in Draft status is visible exclusively to the Fellow who created it.
During the Draft status, the Research Proposal remains accessible only to the Fellow who created it.
Submission of the Research Proposal
Once the proposal has been completed, the Fellow may submit the Research Proposal for evaluation by selecting the Submit action.
Upon submission:
- the proposal changes status and is no longer editable by the Fellow;
- the TNA Manager is notified of the submission;
- the proposal officially enters the evaluation process.
Submission confirms that all required information has been completed and that the Fellow intends to participate in the selected Call for Application.
Following submission, the Research Proposal becomes visible to the TNA Manager and may subsequently be assigned to the Peer Review process.
Lifecycle of the Research Proposal
The Research Proposal follows a structured lifecycle that includes several statuses, such as:
- Draft, during the completion phase;
- Submitted, after submission by the Fellow;
- Under Peer Review, during the scientific evaluation phase;
- Accepted or Rejected, following the final decision;
- Cancelled, in case of withdrawal by the Fellow.
Transition from one status to another is permitted only to specific roles and occurs according to predefined rules established by the system.
Cancellation and Removal of the Research Proposal
The Fellow may decide to cancel their application at any stage of the process by selecting the Cancel action.
In case of cancellation:
- the Research Proposal assumes the Cancelled status;
- the proposal is no longer visible as an active application;
- the information remains available for historical traceability purposes.
Permanent deletion of a Research Proposal is permitted exclusively when it is in Draft status. In this case, the proposal is removed from the system.
