Overview of the Notification System
The WP11 – Transnational Access (TNA) platform integrates an automatic notification system designed to promptly inform users about relevant events occurring throughout the lifecycle of Call for Application, Research Proposals, and research visits.
The notification system supports communication between the various actors involved and ensures that each phase of the process is accompanied by clear and traceable information.
Events Triggering Notifications
Notifications are automatically generated by the system in response to specific events, including:
- submission of a Research Proposal;
- return of a proposal to Draft status;
- sending a proposal to Peer Review;
- completion of Peer Review activities;
- acceptance or rejection of a Research Proposal;
- cancellation of an application;
- completion or cancellation of a research visit.
Each event is associated with specific recipients according to their assigned role.
Notification Recipients
Notification recipients vary depending on the event and may include:
- Fellow;
- TNA Manager;
- Host Coordinator;
- Peer Reviewer.
The system sends notifications exclusively to users involved in the process and authorised to receive information related to the status of the activity.
Types of Notifications
Notifications may take the form of:
- system notifications, visible within the platform;
- email notifications, sent to the addresses associated with users.
Email communications follow predefined templates and include essential information such as:
- the subject of the event;
- reference to the relevant Call or Research Proposal;
- required actions or next steps;
- a direct link to the platform.
Traceability of Communications
Each notification generated by the system is recorded and associated with the event that triggered it.
This mechanism allows the platform to:
- maintain a history of communications;
- support monitoring and verification activities;
- ensure transparency for the users involved.
Notifications are an integral part of the workflow and accompany users throughout all phases of the Transnational Access process.
