Lifecycle Summary and Conclusions

Overview of the Transnational Access Process

The WP11 – Transnational Access (TNA) platform supports a structured and traceable process that guides users through all phases of the Transnational Access programme.

The overall workflow can be summarised as follows:

  • creation and publication of the Call for Application by the TNA Manager;
  • submission of the Research Proposal by the Fellow;
  • formal verification and initiation of the Peer Review process;
  • scientific evaluation of proposals by the Peer Reviewers;
  • final decision of acceptance or rejection;
  • planning and management of the research visit;
  • reporting of expenses and upload of outputs;
  • completion and archiving of activities.

Each phase is governed by statuses, roles, and permissions that ensure the correctness and consistency of the process.


Lifecycle Management and Status Control

The operation of the platform is based on a controlled lifecycle model, in which each object (Call, Research Proposal, Visit) evolves through predefined statuses.

The transition from one status to another:

  • is permitted only to specific roles;
  • is constrained by precise operational rules;
  • is recorded by the system for audit and transparency purposes.

This approach prevents unauthorised actions and guarantees the correct sequence of activities.


Roles and Responsibilities in the Process

The proper functioning of the Transnational Access process is ensured by the clear separation of roles:

  • the Fellow is responsible for submitting the application, participating in the visit, and reporting the activities carried out;
  • the TNA Manager coordinates the process, manages the Calls, and supervises the evaluation phases;
  • the Host Coordinator supports the organisation and management of research visits;
  • the Peer Reviewer contributes to the scientific evaluation of the Research Proposals.

The platform automatically enforces the permissions associated with each role, ensuring consistency and accountability.


Traceability and Transparency

All actions performed within the platform are recorded and linked to the events that generated them.

In particular, the system ensures:

  • preservation of the historical record of Research Proposals and Calls;
  • traceability of decisions and evaluations;
  • recording of communications and notifications;
  • availability of information for monitoring and reporting purposes.

This mechanism supports the transparency requirements defined by the ITSERR project.


Conclusions

The WP11 – Transnational Access (TNA) platform represents a central tool for the efficient and coordinated management of the Transnational Access activities of the ITSERR project.

Thanks to a structured workflow, a clear definition of roles, and an integrated notification system, the platform ensures a consistent experience for all actors involved and supports the entire lifecycle of Transnational Access, from the publication of Calls to the completion of research visits.
